Following the annual system Rollover, registrations can open for the new season. The list below has been prepared to assist your Club open registrations and be ready to go for the new year.
Before opening registrations for the new season, it's important to check the following to ensure you're ready. This will ensure you understand Administrator requirements and don't accidentally open with previous season details still available!
1. Contact your Local Association
Following your Club AGM, contact your Local League/Association to understand operations requirements and expectations as a Club Administrator. Depending on your Association, League Administrators may need to provide you with MySideline Admin access.
2. Introducing and Utilising MySideline
For new and returning Administrators alike, we recommend you have a quick (or a long) read of the article: Administrator Access to MySideline Admin.

3. Review your Club and Finder Details
So your potential Members know who to contact, and what your Club offers on PlayRugbyLeague.com, update your Club Details and Finder Details tab in the My Club section.
Step 1 - Log in to admin.mysideline.com.au
Step 2 - Select My Club (under the Administration menu), and ensure the Club Details tab is selected.
Step 3 - Check the Club Details and update as required. Ensure to SAVE if you make changes.
Step 4 - Select the Finder Details tab (pictured below).
Step 5 - Check the Finder Details and updated as required. Ensure to SAVE if you make changes.
4. Update Clearance/Permit auto-approve settings (if applicable)
Important note for Clearances/Permits that meet your Auto Approval criteria (i.e. matching Member Type and DOB Range):
- Your Club will NOT appear in the list of required Approvals
- You will NOT be given the opportunity to Decline these Clearances/Permits.
- It is only recommended to use "auto-approve" if there are NO suspected cases within your selected Member Type and DOB range which may need to be Declined.
If required, you can set up auto-approvals for your incoming and/or outgoing Clearances or Permits. These options are available in the Clearance Auto Approval and Permit Auto Approval tabs in the My Club section and can be set up for Player Tackle, Player LeagueTag and Referee Member Types.
Step 1 - Log in to admin.mysideline.com.au
Step 2 - Select My Club (under the Administration menu), and select the Clearance Auto Approvals tab.
Step 3 - To create a new Auto-Approval, select a Member Type, Date Range, and "direction" of Approval:
- Member Type - the applicable Member Type for this Auto Approval, e.g. Player Tackle
- DOB From - the oldest Members included in the approval
- DOB To - the youngest Members included in the approval

Set Auto-Approvals For - select whether approving:

- Inward - incoming Clearances only
- Outward - outgoing Clearances only
- Both Inward and Outward - both incoming and outgoing Clearances will be approved

Step 4 - Click ADD to save. Clearances that match this criteria will now be approved automatically.
PERMITS - You can follow the same process above on the Permit Auto Approvals tab.
5. Edit and Add/Remove your Products
Important information about Products:
- You do NOT have to create new Products for the new season. Instead you can simply EDIT those from the previous Season. You can edit and add/remove your Products in the Fees tab.
- At a minimum, you need Products created for each Member Type who will be registering to your Club/Association (e.g. Player Tackle, Player LeagueTag, Coach). You can then define the Age, Gender, Price, and whether Online Payment is Required for each Product to customise as many individual Member Types as required.
- Products must be set to OPEN for you to take registrations. If you aren't quite ready to open registrations, you can keep your Products set to Closed until you're ready to open. In these cases, it can be helpful for your Members if you include a note in your Finder Details (see above #3. Review your Club and Finder Details.)

- Hover over the (?) icons or select headings for helpful hints
- During the early part of the new season, a WalkThru option is available by clicking the "Let's Open Season 2024" button and selecting the Registration Fee Product option. This will also take you through Saleable Items and Discounts.

6. Edit or Add/Remove your Saleable Items
In the Saleable Items tab of the Products section, you can set up items to be available for purchase when Members register. For example, polos or other Club merchandise, or single season membership fees. These items can be free or have a cost associated.

7. Set up Registration Discounts (if applicable)
If your Club has a Discount program for registrations, MySideline can help facilitate. You can create:
- Date Range Discounts - set up the discount as a percentage or dollar amount for a set date range (e.g. "early bird pricing").
- Discount Codes - create individual codes to reduce cost of registration.

Family Discounts - set up discounts for when families are registering more than one member.
- Note: Registrations must be actioned in one online transaction, and with same Member Type for multi-discount to apply.

8. Check your Club is available in the Finder on playrugbyleague.com
Now you've reviewed your Club and Finder Details, and updated your Products, it's time to test them out!
Step 1 - Go to the Finder on PlayRugbyLeague.com and check your Club details are correct.
Step 2 - Register yourself to your Club for 2024. If you've made Saleable Items open to your selected Member Type, you can check it's available.
Step 3 - Once registered, check you're listed in My Members (under Member Management section).
Once registrations are OPEN for the new season:
9. Monitor registrations
You will need to monitor registrations and Members within your Club, as well as relevant transfers. Click on the green text to go to the corresponding MySideline page, or the click the article title to learn more:
- Pending Registrations - learn more about managing new members with the article: Admin Guide to Pending Registrations. In most cases, Associations will approve/decline the Pending Registrations for their Clubs. Contact your local Association for more information about processes in your area.
- Clearances & Permits - understand how to action (approve/decline) or lodge Clearances/Permits with the article: Admin Guide to Clearances and Permits
- 18 Month Dispensations - it is recommended you contact your local Association to understand processes in your area. Find out about the 18 Month Registration Policy, or read up on the Player Development Framework if you want to learn more!
Members registered in the current season will display under My Members (found under the Member Management section).
